Creating a Seamless Process for When a Client Reschedules a Call in Dubsado
When setting up my client's Dubsado workflows, I'm often asked, "Heather, what happens if the client wants to reschedule a call? Will they still receive reminders?"
To which my response is, "Easy! If the proper automations are set up, the client will receive automatic email reminders for that rescheduled call or meeting time!"
Let me explain...
Let's say a client schedules a call with you next Friday at 10am.
But, days go by and that same client says something has popped up and they'll have to reschedule their call for the following week.
Here's what you'd do first. If your Dubsado account is properly automated, you'll already have a canned email set up with a link to reschedule this call based on your calendar's availability.
This canned email might look a little something like this:
Hi {{client.firstName}},
Thanks for letting me know that you need to reschedule our call.
Click the link below to do so.
{{appointment | appointmentRescheduleBtn}}
{{brand.emailTemplate.signature}}
Next, you'll have reminder emails set up within the scheduler itself. This means that even if they've already received a reminder email for the original call, they'll still receive reminder emails for their rescheduled call as well!
A reminder email might look a little something like this:
Hi {{client.firstName}},
Looking forward to our call tomorrow at {{appointment.start | shortTime}}!
Please let me know if you have any trouble accessing the link below:
{{appointment | appointmentConferencingLink}}
Again, if you need to reschedule or cancel our call, please do so below.

*You'll notice that the rescheduling link is in the reminder email above, making it even easier for the client to reschedule a call — and without you having to lift a finger!
Now, let's say you are on vacation and the client reaches out to reschedule a call?
A way to make this process even more seamless is to include a rescheduling link within the scheduler's confirmation email. All the client has to do is search for the confirmation email within their inbox and click on the link to reschedule their call based on your availability.
A confirmation email might look a little something like this:
Hi {{client.firstName}}!
I am so looking forward to our call!
Our call is scheduled for {{appointment.start | mediumDate}} at {{appointment.start | shortTime}}.
You can access our call through the following link:
{{appointment | appointmentConferencingLink}}
Also, to add this invite to your calendar please visit the link below:

If you need to reschedule prior to our call please do so at the link below.
