The 8 Phases to our Dubsado Set Ups

 
 

One of the first questions we are asked when a client is interested in one of our Dubsado Set Ups is... "So, what's the process!?"

Honestly, who can blame them!?

We are a business agency that focuses on systems, processes and automations — It's an important question, especially when they're expecting our workflows to be top-notch!

So, how do we respond!?

Like this, "Our Dubsado projects work in 8 phases! We start with the Onboarding Phase and end with the Support Phase!"

I know what you're probably thinking... Uh, Heather, that doesn't really give us that much information.

Don't worry, allow me to explain what happens in each phase below:

  • ONBOARDING PHASE.

The onboarding phase is exactly what we call it. Onboarding the new client. In this phase, we add you to your very own ClickUp folder where you can keep track of where we are with your Dubsado project throughout our time together.

We will also send you an appointment link to schedule your Kick-Off Call and ask that you fill out a Dubsado Questionnaire prior to our call together. This questionnaire is a multi-page in-depth form that asks you everything from your appointment types to basic client processes within your business.

  • IMPORTING PHASE.

This is the phase where a member of our team will start importing all of your external documents and canned emails (if any) that you currently have in place.

Most of our Dubsado clients have a contract or intake form that they use for potential and current clients, but they aren't in Dubsado. This is where our team takes that content and uploads it to Dubsado to prepare for the implementation phase. We also can import your current clients and leads in Dubsado using a CSV file!

  • IMPLEMENTING PHASE.

This phase usually takes the longest. This is where our team will start implementing things within your Dubsado. Like adding smart fields to your canned emails and forms, updating your payment plans and packages, creating your Lead Capture Form and more!

  • DESIGINING PHASE.

Depending on the components needed for your Dubsado project, we may have our graphic designer design custom elements for your Questionnaires, Contracts and Proposals. We do this so that all pieces of content going out to your clients can stay branded.

  • AUTOMATING PHASE.

This is the fun part of our Dubsado Set Ups! We set you up with workflows and automations that, ultimately, get your client experience running on autopilot. We take the information we gathered from your Dubsado Questionnaire and Kick-Off Call and develop workflows based on Dubsado's automated features.

  • TESTING PHASE.

This phase is where we test those workflows and double check our work. When setting up automations, we make sure that they are working properly and that all the T's are crossed and I's are dotted! (During this phase, you may receive emails to the email you have connected to Dubsado, letting you know of steps within the process. But, don't worry, we always let you know when we're going to test these features, so you are never blind-sided!)

  • OFFBOARDING PHASE.

This is the phase where we ask for you to schedule a Wrap-Up Call. We will screen-share your Dubsado platform and share the changes and updates we've made to your Dubsado account. We do this, so you can see these new features in real time and answer any questions right then and there, BEFORE the support phase begins!

  • SUPPORT PHASE.

This phase is where you have access to us for 4 weeks to answer any questions you may have when it comes to your Dubsado Set Up. We are available to you via email and Voxer and will be available to answer your questions Monday-Thursday!
