4 Questions to Ask Before Building a Workflow in ClickUp

ClickUp workflows and automations change the game for all ClickUp users.

*For those not aware, ClickUp is a project management tool that has become very popular among entrepreneurs and businesses alike.

It's basically the one-stop shop for your business, where you can store your business data, integrate with your email, calendar and scheduling platform, manage your team workload and oversee projects and tasks.

The features are truly endless and fully customizable based on your needs. Whether you are a simple to do list person or you run a complex, multi-person business, ClickUp can accommodate to everything and everyone!

Going back to project management workflows, there are a couple of questions you should ask BEFORE you build a workflow in ClickUp... and yes, we make sure these questions are answered in the Kick-Off Call PRIOR to starting your ClickUp Set Up!

1. WHERE DOES THE PROJECT BEGIN?

Think about the starting point of this project or task. Is it dependent on another task being completed? Does it start with a brain dumping phase? Does the project begin once a client fills out a form?

Knowing the entry point of a project, helps set you up with the automations you need to run more efficiently within ClickUp!

2. WHO ON THE TEAM SEES WHAT AND WHEN?

Who on your team will have access to this project or task? Will it touch multiple people on the team? Do you all need to stay in contact throughout the project? Is it a one-person show?

Knowing who sees what and when, will help us determine who gets added and removed from tasks as a project moves through different milestones of the workflow. It will also help us determine the due dates of the smaller moving parts of a project. For example, a project could have one task and one over-arching due date, while each subtask has their own due date within that task!

3. HOW DO YOU COMMUNICATE WITH OTHERS?

Are you big on using email when it comes to client and team communication? Would you rather prefer Slack communication? What about commenting directly in the ClickUp task itself?

No matter how you communicate with your clients or team members, ClickUp can accommodate you and automations can be set up where an email is sent once a project moves to a new milestone within the timeline.

4. WHAT'S THE TYPICAL TIMING OF THE PROJECT?

Does this type of project usually take 6 weeks, but could be pushed back based on client response times? ClickUp can change the due date of a project, based on updates to the timing of the project.
